How To Submit a New Case

Patient Workup Checklist

Once you have finished your patient workup, check to see if you have everything required to start a new case:

  • Chief Complaint & Clinical exam

  • Clinical Photos

  • Radiographs

  • Consent Forms

  • Impressions & Bite Registration or Digital Scan

Log Into the Portal

Next, log into the portal at portal.orthosnap.com

Submitting the Case

  1. Click on the [+ Create Order] button in the UR corner of your dashboard.

  2. Select [I have a new patient]

  3. If you require a pre-evaluation consultation before getting started, select that here.

  4. Follow the steps to upload all the information.

Treatment Plan Consultation

Just 2 working days after your case submission, you will receive an email with the patient's proposed treatment plan, ready to review. Included in the email:

  • Treatment Plan

  • Smile Simulation

  • Step Count and Cost Estimate

  • A link to schedule the Treatment Plan Consultation

On this call, you'll meet with the Orthosnap Clinical team to discuss treatment strategy and modify the treatment plan to suit the patient and doctor's needs and recommendations. Some items that can be modified.

  • The length of the treatment plan

  • Attachments and IPR

  • Smile design

  • Which teeth require/don't require treatment

Patient Case Presentation

We recommend scheduling the patient for the case presentation immediately at the end of the workup and clinical exam before you've even submitted the case to Orthosnap. Leave yourself a few days of buffer to ensure you're ready to present, but in the early days of your treatment, it's best to keep the patient engaged and committed.

For the patient presentation, ensure you have all components to present:

  • The treatment plan

  • Patient records

  • A patient mirror

  • A typodont and sample clear aligner for demonstration purposes

  • The smile simulation

Start by presenting the proposed treatment plan making sure to explain any attachments, IPR, the step count, cost, and timeline.

Then dive into the risks, benefits, and alternative options of informed consent.

Ensure the patient has a good idea of the responsibility they are taking on, how compliance greatly affects the treatment outcomes and length, and how oral hygiene and eating are affected.

Leave the financial part of the conversation to the treatment coordinator if you have one. The treatment coordinator should discuss the total fee and should make financing options available to make the case more affordable.

It's also at this time that the treatment coordinator can validate and testify on the doctor's quality of work, diligence, and dedication to their patients.

If all goes well, you just might get treatment acceptance right then and there. Hooray!

Some patients might need to consider this important decision with family, in which case you can send the patient their treatment plan and smile simulation from the portal for them to review at home.
