Treatment Plan Consultation

Just 2 working days after your case submission, you will receive an email with the patient's proposed treatment plan, ready to review. Included in the email:

  • Treatment Plan

  • Smile Simulation

  • Step Count and Cost Estimate

  • A link to schedule the Treatment Plan Consultation

On this call, you'll meet with the Orthosnap Clinical team to discuss treatment strategy and modify the treatment plan to suit the patient and doctor's needs and recommendations. Some items that can be modified.

  • The length of the treatment plan

  • Attachments and IPR

  • Smile design

  • Which teeth require/don't require treatment

Patient Case Presentation

We recommend scheduling the patient for the case presentation immediately at the end of the workup and clinical exam before you've even submitted the case to Orthosnap. Leave yourself a few days of buffer to ensure you're ready to present, but in the early days of your treatment, it's best to keep the patient engaged and committed.

For the patient presentation, ensure you have all components to present:

  • The treatment plan

  • Patient records

  • A patient mirror

  • A typodont and sample clear aligner for demonstration purposes

  • The smile simulation

Start by presenting the proposed treatment plan making sure to explain any attachments, IPR, the step count, cost, and timeline.

Then dive into the risks, benefits, and alternative options of informed consent.

Ensure the patient has a good idea of the responsibility they are taking on, how compliance greatly affects the treatment outcomes and length, and how oral hygiene and eating are affected.

Leave the financial part of the conversation to the treatment coordinator if you have one. The treatment coordinator should discuss the total fee and should make financing options available to make the case more affordable.

It's also at this time that the treatment coordinator can validate and testify on the doctor's quality of work, diligence, and dedication to their patients.

If all goes well, you just might get treatment acceptance right then and there. Hooray!

Some patients might need to consider this important decision with family, in which case you can send the patient their treatment plan and smile simulation from the portal for them to review at home.

❓New Case FAQs & Helpful Tips

📌 What if the patient doesn’t want to provide their email or phone number?

Totally understandable—especially if the patient is just looking for a preliminary estimate. Here’s how you can handle it:

✅ First, when you're submitting the case, look for the Dental Monitoring (DM) checkbox. If you uncheck that box, it tells us that the patient isn’t ready to be set up with DM yet, which means you can skip entering their email and phone number for now.

✅ Now, if you—or the patient—decide to move forward with treatment later, no problem. You can simply leave a note in the case asking us to enable DM again, and at that point, we’ll need the patient’s email so DM can send their activation link.

✅ If the DM box is still checked and you don’t enter an email, we’ll prompt you again when the treatment plan gets approved. That’s because this is when the DM record is automatically created. And if we still don’t have the email at that point, one of our Account Managers will follow up manually to collect it.

✅ Just a quick heads-up: we don’t allow the use of your office’s email as a placeholder, but technically, another placeholder could be entered (though it's not ideal).

✅ The best recommendation? Go ahead and treat email like any other basic patient info—just like their name or birthdate—and try to collect it during the initial consultation. It’ll make things much smoother down the line if they choose to start treatment.

📌 How do I skip the email or phone number fields if the patient just wants a preliminary estimate with Orthosnap?

If your patient is only looking for a preliminary estimate and isn’t ready to share their contact info, no worries—you can still move forward!

To skip the email and phone number fields:

  • Simply uncheck the Dental Monitoring (DM) option when submitting the case.

  • This will allow you to proceed without requiring the patient’s contact details.

When the patient is ready to move forward with treatment, you can provide their contact info later so we can set up their Dental Monitoring account.
